Contribute to the future of Victoria's Parks Join an innovative organisation Healthy Parks, Healthy People About the branch The Regional Services Division is responsible for the service delivery of initiatives, programs and services. On-ground works and services will conserve environments, protect culture and heritage, manage visitor facilities and improve opportunities and support fire and emergency management. The Regional resources will support environmental, social and economic outcomes for rural, regional and urban communities. Service delivery is managed and delivered within the demands of the Divisional Action Plan and the requirements of the Division's statewide fire and emergency role, and in partnership with community and government agencies. About the role You will efficiently manage the Regional Director's office by providing a high level of administrative support. You will provide a well presented and well informed first point of contact and liaison for staff and stakeholders. You will support and assist the Regional Director and Divisional Management Team in the overall management of the Division in the delivery of divisional objectives and corporate initiatives. Duties would include providing professional administrative support to the Regional Director, establishing and maintaining an efficient office system, managing office files and other records. You will analyse, develop, and implement improvements to existing work procedures, practices and systems; interface, communicate and resolve issues on behalf of the Regional Director with key stakeholders; manage the Regional Director's diary; schedule appointments, anticipate needs and ensure that the Regional Director has all necessary papers required for meetings; receive, record and prioritise all incoming correspondence and redirect as appropriate; distribute papers from the Regional Director to their direct reports and maintain a follow up system to ensure that deadlines are met; and keep the Regional Director informed of important issues and act as a conduit for information flow. You will be required to travel throughout regional Victoria on a regular basis which may include overnight stay. Your responsibilities will include; Ensuring individual and divisional goals are achieved and services are provided in an effective and timely manner. Developing functional plans and measures, to assess and improve individual and branch performance. Prioritising demands on the Regional Director taking into consideration their preference for accessibility and also need for uninterrupted time to address high priority matters. Liaising and resolving issues on behalf of the Regional Director with key stakeholders including customers, the Department of Environment and Primary Industries and other government departments and agencies, Ministerial staff, business community, Parks Victoria employees and the Board. To be successful for this role you need: Certificate qualification in office administration or business related field is highly desirable. Extensive experience in an administrative role with responsibility for the management of an executive or senior executive/s activity. Demonstrated experience in multiple portfolio management.
